Duties and Responsibilities:

STATUS: Full time, Exempt

JOB OVERVIEW: This position is responsible for assisting the Registrar with the management and supervision of the Admission/Registrar's Office. The Assistant Registrar is responsible for overseeing the daily operations in the Admissions/Registrar's Office at both campus locations, including the maintenance of academic records of applicants and students in a multi-campus setting. The Assistant Registrar works closely and independently with the Registrar in fulfilling the responsibilities of data integrity and management of all student records. Specific areas of responsibility include all aspects of admissions, registration, student schedule adjustments, degree audits, graduating, final grade reporting/processing, coordinate and reconcile the updating of student records. Assist in meeting the information needs of academic departments and in developing office procedures and training office personnel.

DUTIES AND RESPONSIBILITIES:

  • Participates in the processing of student registrations including examining registration data and recording appropriate information in computer-based and manual records
  • Train and oversee assigned staff in methods of effective and efficient registration processing including appropriate computer skills
  • Perform and oversee the collection, examining and recording of required demographic, academic, career and historical information about the College's students
  • Review, analyze, and correct student information in order to assure accuracy in recording such information as student grades, prior course credits and their equivalency, and academic data needed to certify student eligibility for degrees and certifications
  • Proctor ACT testing at Warner and Muskogee campus
  • Perform and oversee the operation of computerized and manual records systems
  • Perform procedures to assure the protection of student information and its confidentiality
  • Analyze, organize and compile data for recurring and ad hoc reports; this may involve careful interpretation of such information as course content and proper credits toward degrees
  • Extract information and produce reports using both computer-based and manual data sources in a range of report types, including such documents as transcripts, grade reports, lists of candidates for graduation and detailed lists of classes
  • Attendance and participation at convocation and commencement ceremonies; serve on assigned committees and task forces
  • Duties may involve attendance at evening or weekend events

Knowledge, Skills & Abilities:

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Demonstrated knowledge of student records practices
  • Demonstrated knowledge of computerized and manual systems for collecting, preserving and reporting student information
  • Ability to follow directions, think critically and retain information related to Admission and Registration
  • Ability to effectively communicate both orally and in writing
  • Excellent interpersonal skills
  • Skilled at multi-tasking
  • Strong information technology literacy skills

EDUCATION/EXPERIENCE REQUIRED:

  • Bachelor's degree in Education or student services, academic advisement, and admissions plus two (2) years of management and supervisory experience
  • Master's degree preferred with work experience in some facet of the education field including familiarity with and commitment to enrollment management principles and practices
  • Experience with SCT and knowledge of International Student Admissions Guidelines

SPECIAL REQUIREMENTS:

  • Must be able to work at the location that best serves the institutional needs of CSC
  • Some travel required to serve institutional needs
  • Some irregular work hours required to serve institutional needs
